Registration Rates

West Coast Registration Information

  • Location and Local Transportation
    The conference will be held at the DoubleTree by Hilton Hotel San Diego - Mission Valley in San Diego, CA. The hotel is located just 8 miles from the San Diego International Airport (Airport Code: SAN). Delight in a world of sight-seeing pleasures: miles of white-sand, sunny beaches, charming Old Town, the Gaslamp District, the San Diego Zoo, Sea World, Wild Animal Park, U.S. Navy facilities, and Qualcomm Stadium. The hotel does not provide a shuttle, however many ground transportation options are available directly from the airport. Ride share (Uber and LYFT), shuttles, and taxis are available. Cross the street upon exiting baggage claim at the airport and follow signs for Ground Transportation. The DoubleTree is located on the Trolley Line (Green Line). See SDMTS.com for more information.
  • Cancellations
    Cancellations on or before March 1, 2024 may receive a refund minus a $50.00 cancellation fee. No refunds will be issued after March 1, 2024, however, you may substitute a conferee rather than cancel the registration entirely.
  • Registration Information
    Registration opens in January. Advance and on-site registration includes admission to all platform sessions, poster sessions, the exhibit area, welcome reception, socials, and coffee breaks. Workshops, CEU credit, and lunches are NOT included in the full registration fee, but may be purchased separately during registration. Register before March 1st for best rates. All fee categories increase by $100.00 after March 1, 2024.
  • Poster Sessions
    Posters may be viewed in the designated areas throughout the day on Tuesday, March 19th and Wednesday, March 20th.
  • Workshops
    Are not included in conference registration fee and must be purchased separately during registration. Early registration is encouraged as space is limited and materials must be prepared in advance. Please check the workshop schedule carefully when selecting workshops - same day workshops may run simultaneously. Workshops are free to government personnel (enter discount code REG-MSF in the "discount code" field at checkout).
  • Government Personnel
    Employees of any State, County, Regional, Municipal, or Federal agency qualify for a registration rate of $195.00. Pre-registration is required in order to receive this special rate. In addition, all workshops are FREE to government personnel. Please be sure to sign up to reserve your space in the workshop. Enter REG-MSF in the "discount code" field at checkout to zero out the workshop fee (after clicking "register now").
  • Exhibit Information
    An exhibition of relevant technologies and services will be in the exhibit hall on Tuesday, March 19th and Wednesday, March 20th from 9:00 am - 7:00 pm and on Thursday, March 21st from 9:00 am - 12:00 pm. Breaks and socials take place in the exhibit hall at 10am, 3pm, and 5pm on Tuesday and Wednesday. A limited number of booths are available.
  • Sponsors and Supporters
    Are eligible for complimentary registrations, according to respective guidelines (sent via email to sponsor contact). Employees of sponsoring and supporting organizations may register at the reduced rate of $395.00. Be sure to indicate which sponsoring or supporting organization you are affiliated with in order to qualify for the reduced rate (if the affiliation on your profile differs from the sponsoring organization, please email laura@aehsfoundation.org to clarify).
  • Accommodation Information and Group Rate
    The DoubleTree by Hilton San Diego Mission Valley puts you in the center of San Diego. The adjacent trolley stop offers a ride to the city’s top attractions including Old Town, Little Italy, and Gaslamp Quarter.   • How do I edit or remove the 'Frequently Asked Questions' title?
    You can edit the title from the FAQ 'Settings' tab in the Editor. To remove the title from your mobile app go to the 'Site & App' tab in your Owner's app and customize.

    Yes. To add media follow these steps: 1. Manage FAQs from your site dashboard or in the Editor 2. Create a new FAQ or edit an existing one 3. From the answer text box click on the video, image or GIF icon 4. Add media from your library and save.

  • Attendee List Policy/Scam Alert
    AEHS provides the final attendee list (of opt-in attendees) one time, approx. 2 weeks post-conference. Exhibitors will receive an email directly from the Foundation with the list.  AEHS Foundation does NOT use third party solicitation and will NEVER sell the attendee list. If you receive an email from an individual stating that they have our attendee list, this is a scam. They do not have our list. Companies have been selling fake lists to exhibitors since 2017.
  • The price of a booth space includes

  • Exhibitor Cancellation Policy
    Cancellations received in writing on or before August 31st will receive a refund minus a $100 processing fee. There will be no refunds for booth spaces cancelled after August 31st.
  • Workshops
    When registered for the conference, workshops are $110.00 each. If registering for a workshop only (and not the full conference), an additional "workshop only" fee of $100.00 applies. Workshops are free to municipal, state, & federal personnel (enter discount code REG-MSF at checkout).
  • Cancellation Policy
    Cancellations on or before March 1, 2024 may receive a refund minus a $50.00 cancellation fee. No refunds will be issued after March 1, 2024, however, you may substitute a conferee rather than cancel the registration entirely.

  • Sponsor Registration
    Is your company a sponsoring organization? Each sponsor or supporter receives a pre-determined number of complimentary registrations (comps) based on their level of support and benefit selections. Discount codes are used to redeem sponsor comps and are distributed by the main contact for the sponsoring organization. Beyond the comps, attendees from sponsoring organizations are eligible to register at the reduced rate indicated above (currently $300 below general attendee rate). Sponsoring organization's affiliation must be clearly indicated on the registration.

    Parking is available in the Campus Center Parking Garage (1 Campus Center Way, Amherst, MA). Attendees are responsible for paying their own parking. A reduced daily rate of $6.50 is available - see registration desk for a parking voucher to obtain the discount. Access to the Campus Center is on Level 2 of the parking garage. Follow signs to the Campus Center.  Getting to the Campus Center Parking Garage… From Massachusetts Avenue (after exiting from Route 116)  At the second set of lights, turn left onto Commonwealth Avenue. Boyden Gymnasium is on the corner of Commonwealth and Massachusetts Avenues.  At the next set of lights, turn right onto Campus Center Way and proceed up Campus Center Way.  The entrance to the Campus Center Parking garage is at the top of the hill on the right.  Getting to the Murray D. Lincoln Campus Center… From the Parking Garage  As you enter the garage, proceed down the ramp and park on level 2 if possible.  An enclosed walkway leads directly from level 2 of the garage into level 2 of the Campus Center.  As you enter the Campus Center you will see signs directing you to Conference Registration (at the base of the escalators on the lower level of the campus center).  If you are a hotel guest and are looking for the Campus Center Hotel, proceed to the left, and walk past the University Store; the elevators are on the right. The Hotel Lobby is located on the third floor of the Campus Center.  Please note: parking is no longer included in the room rate at Hotel UMass but is available at the reduced rate of $6.50/day and may be purchased at check in.
  • Poster Sessions
    Posters may be viewed on Tuesday and Wednesday. Authors will be available at their posters for individual discussion from 3:00pm - 6:00pm on their assigned day (either Tuesday, October 17th, or Wednesday, October 18th). See program for poster presentation schedule.

    A room block has been secured at Hotel UMass at the Campus Center (www.hotelumass.com). The group rate is $189.00 per night. For those attendees wishing to stay at Hotel UMass, where the conference will be held, please make your reservation online. The cut-off date for Hotel UMass is September 15, 2023. We recommend making your reservation early. Rooms may sell out prior to this date. Rates and reservations are not guaranteed.
  • Exhibit Information
    An exhibition of relevant technologies and services will be featured Tuesday, October 17th, from 9:00am - 7:00pm, Wednesday, October 18th, from 9:00am - 7:00pm, and Thursday, October 19th, from 9:00am - 12:00pm.   • Location and Travel Information
    The conference will take place in the Murray D. Lincoln Campus Center, University of Massachusetts at Amherst, located in the scenic Connecticut River Valley.  Address of Conference Site:  Murray D. Lincoln Campus Center University of Massachusetts Amherst One Campus Center Way Amherst, MA 01003  Amherst is served by major airlines through Bradley International Airport in Windsor Locks, Connecticut (about 1 hour by car), and Logan Airport in Boston, Massachusetts (about 2 hours by car). Rental car, train, and bus service are available from both airports.
