    EAST COAST CONFERENCE PRESENTER INFORMATION    
 


PLATFORM PRESENTER INFORMATION

Please plan your talk for a 20-25 minute duration. There will be time for questions from the audience during the 5 minutes immediately following your talk. Meeting rooms will be equipped with a laptop computer and (LCD) projector, as well as a lavaliere microphone and a stationary microphone at the podium. A laser pointer/slide advancer will also be provided. Please prepare your visuals using Microsoft PowerPoint and plan to bring your presentation with you on a Flash (USB) drive.  Unless you hear otherwise, plan to meet your session chair in your assigned room 30-45 minutes prior to your session start time to load your presentation. Refer to the final program for room assignments. The final program is posted on our website one week prior to the conference and is also distributed in your packet at check in.

We will be holding a speaker/session chair breakfast the day of your talk.  It will be held on the 10th floor of the Campus Center from 7:15am - 8:15am. It’s a very good opportunity for all presenters in the session to meet each other and the session chair.  We strongly encourage all speakers to attend, if possible. Tables will be marked with your session name.

We will have a speaker preparation room available for your use. It will be equipped with a laptop and computer projector.  Check at the registration desk for its location.

Please note the following presenter deadlines:

Biographies: If you have not already done so during your abstract submission, please submit a one-paragraphy biography by August 1, 2017. Presenter biographies are required in order for the conference to offer CEUs. They will also be used for introductions by your session chair, as well as posted online. Please submit only the presenting author's biography. Log in to your original abstract submission to add/update your biography or email it directly to the Conference Coordinator (brenna@aehsfoundation.org) as a Word attachment. No CVs and no PDFs. If you are unsure if you submitted a biography, please log in and check your submission.

Revised Abstracts: You may revise your abstract anytime prior to August 1, 2017.  If there are no revisions, the original abstract you submitted will be posted on our website and printed in the conference abstract book. Log in to your original submission to edit your abstract.

Registration: Platform presenters receive complimentary one-day registration on the day of their talk AND reduced registration options to attend additional days. Presenters are responsible for paying for meals, CEUs, and any workshops selected, as well as arranging and paying for travel and lodging. Please remember to register no later than September 11, 2017 (presenter registration deadline.)  Registration is required even if there is no financial transaction involved.

Important – Platform Presenters Please Read:

If you are coming to the conference for only ONE day and wish to register ONLY for your free, one-day registration, you may do so online. Select the applicable $0.00 day rate (bottom of fee list). Optional items may be selected after you click next. 

If you wish to register for your free day PLUS additional days, please use the printable/fillable form and email or fax it back to us. Claim your free day by filling in “$0.00” on the applicable line and select optional days/items as you wish. Email or fax it back to sierra@aehsfoundation.org and we will process it internally. The online system will not allow presenters to claim a free day PLUS additional discounted days – we must enter it from our side. Thank you for your cooperation.

Note: If you are participating in the conference in more than one capacity, registration defaults to the lowest option. Each individual only needs to register one time. 

Proceedings (optional): We encourage you to submit a manuscript for publication in the next conference proceedings. Manuscripts are due October 30, 2017. The proceedings will be published mid-late 2018 and will include voluntarily submitted manuscripts from BOTH annual conferences. Please refer to the Manuscript Submission Guidelines below.


 


POSTER PRESENTATION INFORMATION

Posters are to be set up on Tuesday morning before 10:00am. Set up is from 8:00am - 10:00am on Tuesday and is “first come, first serve” within your assigned room for poster location. All posters will remain up for BOTH Tuesday and Wednesday. Authors are to be at their poster(s), available for individual discussion, from 3:00pm – 6:00pm on both days for the “poster sessions”. Posters are to be taken down (and removed) immediately following the poster session (at 6:00pm) on Wednesday.

Please refer to the poster preparation guidelines for general poster preparation guidance. The space provided for the poster will be 40 inches high by 60 inches wide (landscape).  Please plan your poster size accordingly. Poster boards are free-standing cork boards (40X60, landscape). The ideal poster size is 36-38 inches high by 56-58 inches wide.

When you arrive, come to the AEHS registration desk on the lower level of the Campus Center (at the base of the escalators.) Push pins will be provided to affix your poster to the board.

MANUSCRIPT SUBMISSION

We encourage you to submit a manuscript for publication in the next conference proceedings. The proceedings will be published mid-2018. Our proceedings are published once a year and include voluntarily submitted manuscripts from BOTH annual conferences (March and October).

Manuscripts from this conference should be submitted to AEHS Foundation no later than October 30, 2017.
